A Maintenance Dispatcher’s role in a company entails supporting the service team by making sure all of our customers maintenance services are scheduled, dispatched and closed properly to ensure high renewal rates on our contracts. This position also supports the Lead Dispatcher with assistance closing out paperwork and payroll, as well as serves as back-up service dispatcher during busy times or when the Lead Dispatcher is not available.

General

  • Work hours are from 9:00 to 6:00, Monday thru Friday which may require additional time past these hours if demand warrants.
  • Every third week, work as the Saturday Dispatcher from 8 am to 4pm. The week where a Saturday is worked, a Tuesday/Wednesday/Thursday may be taken off.
  • Reports to Service Manager, regarding technicians/services; Parts Manager regarding policies, procedures, efficiency of workflow

Primary Job Functions:

  • Provide clear and concise communications with technicians, office staff, management, sales people, and company customers.
  • Attends all service meetings and works with management to set agenda and follow up
  • Coordinates technicians paperwork to office
  • DAILY:
  • call back report
  • Process technician timesheets and match to GPS reports;
  • Pulls and closes any contract maintenance invoices
  • Call and confirm next day PMs
  • Make sure that all maintenances scheduled, contracts have been paid for
  • WEEKLY:
  • Provide filter list to maintenance technicians
  • Review issues/concerns with Service Manager regarding technicians/processes
  • MONTHLY:
  • Run Commercial Incomplete Maintenance Report – run last week of the month, all must be called by 1st of the month
  • Run Residential Open Call Report for Maintenances – must call, and note in SamPro, ALL customers by end of the month.
  • Handles all customer calls with questions about service provided
  • Answer phones and support co-workers as needed

Skills & Specifications:

  • Proficient in general office tasks such as filing, typing (minimum 40WPM) and have a minimum basic skill level in Outlook, Excel and Word.
  • Ability to meet deadlines.
  • Good communication skills with other customers and co-workers.
  • Able to work as a member of a team.
  • Attention to detail.
  • Working knowledge of TMS
  • Data processing
  • Excellent customer service skills and phone etiquette.
  • Passionate and hardworking.
  • Well organized professional with strong skills in prioritizing and multitasking.
