Job Description – Executive Sales Assistant

The Executive Sales Assistant will supervise, motivate, and coordinate the activities of the inside sales department and assist the VP with projects and assignments. This position will provide customer support while working closely with Sales Managers, Engineering, and Product Management, to ensure a smooth flow of customer information and requirements throughout the organization. This position is responsible for maintaining client relationships, project management, and assisting with developing sales opportunities. This position will report directly to the Vice President.

Job Responsibilities – Executive Sales Assistant

  • Supervise the work of customer service representatives to ensure adherence to quality standards, deadlines, and proper procedures
  • Monitor customer service phone calls and emails for quality assurance
  • Support customer inquiries, including but not limited to providing quotes, processing orders, and providing client updates along the entire process
  • Serve as a liaison with the outside sales team
  • Track and prepares reports on daily, weekly, and monthly leads and sales
  • Follow up to ensure successful order entry, sales fulfillment, installation, post-installation, and operations on orders produced
  • Maintain close contact with customers to give updates on progress toward resolution of issue or service requests.
  • Ensure that appropriate changes were made to resolve customers’ problems and further investigate unresolved customer issues
  • Analyze pricing data from industry standards, previous sales trends and report data to decision-makers
  • Keep records or customer interactions, recording details of inquiries, complaints, or comments, as well as actions taken
  • Analyze current processes and streamline workflows
  • Generate workflow SOP documentation
  • Work with IPS Sales channel [design center & manufacturing representatives] to manage data and relationships
  • Support VP with special projects & assignments
  • Perform other miscellaneous job duties and related functions as directed

Desired Skills & Experience – Executive Sales Assistant

  • Minimum of 3-5 years of experience with sales and/or customer service
  • Knowledge of Microsoft Dynamics NAV is a plus, but not required
  • Preferred experience using ERP or CRM system
  • Ability to manage multiple priorities and tasks with a sense of urgency
  • Well organized with an aptitude for details
  • Effective verbal and written communication skills
  • Knowledge of project management frameworks and best practices
  • Have the ability to multi-task and produce quality results under pressure
  • Proficient in Microsoft Suite (Word, Excel, PowerPoint, Outlook, etc.)
  • Must be self-starter and able to work independently with little supervision
